Job Description

The Administrative Assistant for Support Services must be able to work calmly in a fast paced environment, thinking quickly and often multi-tasking. This individual is responsible for ensuring customer satisfaction throughout the support process. Must be highly organized and able to communicate well.

This position also plays a strong role in supporting many departments and key personnel and additionally requires frequent customer interaction. For these reasons, professionalism and good manners are critical. This position requires a good ability to prioritize tasks, receive direction and follow instructions as well as the ability to work with little supervision. Must be computer literate and detail oriented.


  • Receives, directs, and follows up on support tickets
  • Schedules the department and Director for special projects
  • Provides outstanding customer service by being first contact on calls, efficiently directs customer to the correct department and makes sure customer are attended to in a timely manner
  • Enters detailed descriptions of problems to facilitate the troubleshooting process for support engineers
  • Accommodates client questions by explaining techniques and pointing out relevant documentation
  • Answers some Tier 1 support questions by identifying problems, researching answers and guiding clients through steps
  • Participates in development of internal training programs under the direction of the Director of Support Services
  • Assists in the interviewing process for the department
  • Updates job knowledge by participating in educational opportunities within the company


  • 2+ years Receptionist experience answering multi-line phones
  • Excellent communication skills, both verbal and written
  • Excellent phone etiquette
  • Excellent event planning and organization skills
  • Strong typing, spelling and grammar skills as well as ability to quickly and accurately take notes
  • Ability to stay on task to full completion
  • Able to multi-task on projects while simultaneously handling incoming calls
  • Able to adjust in a fast-paced environment with little supervision
  • Motivated and self-driven
  • Ability to receive direction and follow instructions
  • Efficient and able to speed procedures
  • Positive outlook with a professional manner
